The BOD meetings are held on a regular schedule each month following the bylaws of the association.
Only on special occasions are BOD meetings held at any other time and then only to deal with sensitive matters that might affect an owner's right to privacy.
For these special meeting you will not be allowed to speak and may be excluded from the meeting in order to protect the privacy of an owner. (e.g. legal actions) Only subjects that are announced as private or sensitive in nature are discussed at these special meetings of the BOD.
The regular scheduled Board Meetings are held at the Colony Club House at 7:00 p.m to about 9:30 p.m. on the last Tuesday Evening of every month. Owners are welcome to attend.
At the beginning of every meeting, thirty minutes are scheduled to allow for a few owners to speak to the BOD for a time limit of 10 minutes each. When the time limit is up, there are no other non BOD speakers. During the BOD meetings no owner or guest may speak unless the opportunity is offered to them by the BOD.
Following the Roberts Rule of Order according to the bylaws of the association, the meeting follows the agenda set forth by Roberts Rule of Order. e.g. Opening, Reading of the Minutes of the last meeting, Old businesss, new business, etc.
Items to be decided upon by the BOD are done by resolution. seconded, discussed and voted upon. The President presides at the meeting and in his/her absense, the VP presides.
All directors have an equal responsibility when it comes to making decisions that affect the homeowner.
Officers are President, VP, Secretary and Treasurer. The president has no power over the other officers other than the ability to sign obligations and contracts. The President also may call a meeting of the BOD. However, any other two directors can also call a meeting of the BOD. A notice of 3 days must be sent to the directors by the secretary in either case.
It takes a quorum to make a decision by the board. A quorum is five directors present at the meeting. A majority vote pervails. The President does not have to be present to hold a meeting.
You may also volunteer to become a committee member. Committees act on the behalf of the BOD and make recommendations to the BOD. Committees can also perform tasks assigned by the BOD under the limits of the budget set by the BOD and approved by the owners at the annual meeting.
